Rental Policies & How It Works
Rental Requirements
To rent a trailer from Haywood Trailer Rental Solutions, you must:
- Be 25 years or older
- Have a valid driver’s license
- Provide 2 forms of ID (Driver’s License + one additional ID)
- Provide proof of auto insurance that covers towing
- Have a vehicle with the proper towing capacity and hitch setup
Responsibility for the trailer transfers to the renter once the trailer is hitched to your vehicle and remains with you until it is unhitched and returned.
What’s Included with Your Rental
Each trailer rental includes:
- 4 heavy-duty straps
- Wheel chocks
Required for Use:
- A coupler lock is included. The renter must use it anytime the trailer is parked and not hitched.
Optional Add-Ons:
- Hitch/Receiver Lock: $10 per rental (recommended to secure your load)
- Securement Kit: $25–$30 per rental (includes 2 Grade 70 chains + 2 ratchet binders)
Pickup & Delivery Policy
Pickup
- Pickup is by appointment only
- A team member will meet you at the pickup location to verify ID, insurance, and vehicle compatibility
- Renter is responsible for safe transport once the trailer is hitched
- Delivery (Premium Service)
- Delivery is available within a 30-mile radius of New Tampa.
- Delivery pricing is one-way and based on distance.
- Pricing may vary depending on timing, location, and accessibility.
Starting Rates:
- 0–10 miles: $50+ (one-way)
- 11–20 miles: $75+ (one-way)
- 21–30 miles: $95+ (one-way)
Same-Day Rentals
- Same-day rentals are available by delivery only
- Subject to availability and delivery fee
Booking Deposit & Security Deposit
Booking Deposit (Non-Refundable):
- A $50 non-refundable booking deposit is required to reserve your rental date
- This amount is applied toward your total rental cost
- If you cancel, the booking deposit is not refunded
Security Deposit (Refundable):
- A $200 refundable security deposit is required at pickup
- Returned within 1–3 business days after inspection
- Deductions may apply for damage, missing items, cleaning fees, late return fees, or policy violations
Cancellations & Refunds
- Cancel 48+ hours before your rental: Rental fee is refunded (booking deposit kept)
- Cancel less than 48 hours before: No rental fee refund (booking deposit kept)
- No-Show: Full rental amount and booking deposit are non-refundable
Security deposit is not affected by cancellation because it is only collected at pickup.
Late Returns
Returning late affects other renters and scheduling.
- Late returns will result in a full extra day rental charge
- Fees will be deducted from the security deposit or charged to the card on file
Damage, Loss & Responsibility
- Renter is responsible for any damage, loss, theft, or missing items while the trailer is in their possession
- The coupler lock must be used anytime the trailer is parked and not hitched
- Missing or damaged straps, chocks, locks, or add-on equipment will be charged at full replacement value
- A cleaning fee may apply if the trailer is returned excessively dirty
Insurance & Liability
- Renter must show proof of auto insurance that covers towing
- Renter assumes all liability once trailer is hitched
- Haywood Trailer Rental Solutions is not responsible for damage to the renter’s vehicle, cargo, or third-party property
- Renter must follow all state towing laws and safety regulations
Customer Conduct & Safety
For everyone’s safety:
- Use proper towing and safety procedures at all times
- Do not exceed trailer weight limits
- Only the renter listed on the agreement may tow the trailer
- Contact us immediately if an issue occurs during rental
